# Team overview

> Use the team overview page in absentify to see colleague absences, filter by department or date, and stay informed about your team’s schedule.

The **Overview** page in absentify provides a clear view of your team’s upcoming schedules, making it easy to see who is available or on leave. When you sign in to absentify, this page opens automatically with the display starting from **today’s date**. It shows your saved department selection; if no department is selected, choose one before the timeline loads absences.

  In cases where privacy settings restrict details, absences appear like other leave types with the color <Icon icon="square-full" iconType="solid" color="#494b83" />. When you hover over these absences, you see "Absent" instead of a specific leave type name.

  Additionally, your leave allowance information is private to you and visible only to managers, approvers, and HR administrators. Other team members will not have access to this information.

## View team absences

On the Overview page, you’ll see:

* A timeline starting from **today** that shows who is scheduled to be off, with symbols and colors representing different types of leave, depending on your company’s configuration. Public holidays are also shown in the timeline — select one to open a details dialog with the holiday name, date, and allowance-deduction status. If you have permission to create a request for that team member, the dialog includes a **Book time off** button that pre-fills the absence form with the holiday date.
* Gray cells mark days before a team member's employment start date or after their last working day. Hover over a blocked cell to see the boundary; the boundary days themselves remain bookable. These cells appear only if you may book for that person, so employment dates stay private from everyone else.
* Navigation controls in the top left corner to adjust the displayed time period, using the **left** and **right arrows** or the **date range picker**.

Selecting the **left** or **right arrow** shifts the view by the number of days currently displayed, letting you easily move forward or backward in time. You can also select the **displayed date range** between the arrows to open a calendar. Pick a **start date**, then confirm with **Apply**. The next days are selected automatically based on your screen size (up to 31 days). After you choose a custom start date, the left and right arrows continue shifting by that fixed window length instead of jumping by calendar month. The maximum number of visible days depends on your screen size. The timeline only shows as many days as fit on your screen at once, because horizontal scrolling isn't supported in Microsoft Teams apps.
The current day is highlighted with a **blue border** on the weekday name for easy reference.

## Filter options

You can filter the overview by **department**, **user**, **leave type**, or **leave status**. Select the **Filter** button on the overview page and select your preferred criteria.

When filtering by **department**, you can combine several departments in a single view:

1. Select or clear department checkboxes to change the selection.
2. Select **Only** on a department row to replace the current selection with that department.
3. Select **Reset filters** to return to the default selection. If **All departments** is available, it becomes the default; in organizations with many departments where that option isn't available, reset clears the department selection.

When no department is selected, the overview displays **No department selected** instead of loading timeline absences. Choose a **My department** shortcut, select a department from the list, or use **Search departments** to find one.

How many departments you can select at once isn't a fixed number — it scales with the combined size of the departments you pick. Smaller departments let you select more at the same time, while larger departments let you select fewer (up to a maximum of 20 departments). If a selection would load too many people into the overview at once, absentify shows a brief message asking you to remove another department first instead of adding it.

### Key notes

**Department visibility**:
Access to department or organization-wide data depends on your company’s privacy settings. Depending on these settings, you may only be able to view absences within your own department.

**User visibility**:
The same applies to the users listed: you only see users within departments you have access to. Managers marked as invisible by an admin do not appear in the team overview or calendar for regular department members.

**Leave type visibility**:
Only the leave types you’re allowed to view (either for yourself or for users you manage) will be available in the filter.

  * If a deductible leave type is missing, it’s likely due to visibility settings in the allowance linked to that leave type.

### Absent today filter

In addition to the extended filter, you can use the **Absent today** filter located next to the **Create a request** button. This quick filter shows only team members who are currently absent and respects the filter settings you’ve applied in the main filter section.

## Viewing absence details

Clicking on a specific day for an absence opens a detailed dialog box with the following information:

* **Leave type and duration**: Displays the type of leave (e.g., "Vacation") along with the start and end dates. For day-based absences (including multiple days or half-day absences), the time settings will reflect your company’s configuration, such as **Morning**, **Afternoon**, **Lunchtime**, or **End of day**. For absences tracked by the hour, specific times are displayed according to your profile settings.
* **Reason**: If a reason for the absence was provided during the request creation, it will be displayed here.
* **Status**: Shows the current status of the leave request:
  * **Pending**: The request is awaiting approval from your manager or approver.
  * **Approved**: The request has been approved and is officially recorded. The date and time of the approval decision is displayed next to the status.
  * **Declined**: The request was declined. You may need to adjust details and resubmit if necessary. The date and time of the decline is displayed next to the status.
  * **Canceled**: The request was withdrawn by the employee or by another user with the appropriate permissions. The cancellation date is displayed next to the status.

  For **declined** and **canceled** requests, the approve and decline actions are not available in the detail view.

* **Process status**: Details the approval process, indicating who needs to approve the request and their decision status.

    If your absence request requires approval, it will go through one of the following processes, as set by your company:

    * **Linear - All must agree**: Approvers are contacted one after the other. The request is approved only if all approvers agree. If even one approver denies the request, it will not be approved.
    * **Linear - One must agree**: Approvers are contacted one after the other. If at least one approver approves the request, it will be approved.
    * **Parallel - All must agree**: All approvers are contacted at the same time. The request is approved only if all approvers agree. If even one approver denies the request, it will not be approved.
    * **Parallel - One must agree**: All approvers are contacted at the same time. If at least one approver approves the request, it will be approved.

    These approval processes impact how quickly a decision is made on your request, and you can check the status to see if it’s awaiting action from any approvers.

* **Take from allowance**: Specifies the number of days (or hours) deducted from the employee's leave allowance, if applicable.
* **Request created**: Indicates the date and time when the leave request was originally submitted.
* **Request created by**: Shows the name and profile picture of the person who created the request.
* **Files**: If documents were uploaded during the absence request creation, they will be displayed here under **Files**. You can download these attachments by clicking on the file name.\
  **Admins, approvers, and requesters** can upload additional files later.

  If you are viewing another team member’s leave, you will only see the details you’re authorized to view. For your own leave requests, all relevant details are accessible.

With these tools, the **Overview** page helps you stay informed about your team’s schedules and coordinate absences effectively within your department.
