# Data Processing Agreement (DPA)

> Review and accept absentify’s standardized GDPR Data Processing Agreement directly in the app — no manual signing, no postal exchange required.

A **Data Processing Agreement (DPA)** is the legal contract that the GDPR requires whenever one company (you) lets another company (absentify) handle the personal data of its employees. It says what we do with the data, how we protect it, and what happens if anything goes wrong.

absentify provides a standardized DPA in line with **Article 28 GDPR**. You can review and accept it directly in the app — no PDF roundtrip, no signature.

In the app sidebar, the DPA page lives in the **Billing & Data** group, listed as **Data Processing Agreement**.

***

## How to accept the DPA

1. Open **Settings > Data Processing Agreement**.
2. Select **View Agreement**. The full DPA opens in a window in the language your app is currently set to (English or German) — the version you sign matches that language. To accept the German version, switch the app language to German first.
3. Select **Accept Agreement** to confirm.

That's it. Once you've accepted, absentify records the agreement in a tamper-proof log entry that includes:

* Date and time of acceptance
* Workspace ID
* IP address
* DPA version
* Name of the administrator who accepted

The page now shows a green **Agreement Accepted** badge with the date, time, and the name of the person who accepted. A **Download PDF** button lets you save the signed agreement for your records anytime.

<Note>
  The DPA is concluded electronically inside absentify. With your electronic consent it is mutually binding — no signature on paper is needed.

## When a new DPA version is released

If we update the DPA — for example to reflect a new sub-processor or a clarification — the page switches to a yellow **Outdated Agreement Version** notice. It tells you which version your workspace previously accepted, who accepted it, and when. You can still download that older version for your records, and a **View New Version** button lets you review and accept the updated DPA the same way you accepted the original.

Until you accept the new version, your old acceptance still stands; the notice exists so you don't miss the change.

## Why we don't offer a custom DPA

<Note>
  absentify is a **standardized SaaS solution** with the same DPA for every customer. We can't negotiate individual contract changes — any change would need to apply to every other customer too.
