No, absentify can be used without Microsoft 365 licenses.absentify offers two sign-in methods:
  1. Microsoft 365 Single Sign-On (Recommended)
    • Full functionality with all automations
    • Requires Microsoft 365 license and IT approval
    • Automatic calendar synchronization, out-of-office replies, Teams integration
    • ROI: ~87 EUR savings per employee/year through automation
  2. Email-based login (Magic Link)
    • Core absence management features available
    • No Microsoft license required
    • Ideal for test phase or restricted IT environments
    • Limitation: No calendar/Teams integration possible
Recommendation: For production use, the Microsoft integration should be activated to realize the full business value.
absentify only requests essential permissions to provide its features, such as syncing calendars and managing department memberships. For a detailed overview, refer to our permissions section.
If your workspace only has one administrator and they leave the company, administration rights will need to be reassigned. To address this:
  • A member of your company’s top management must email support@absentify.com.
  • The email should clearly specify:
    • The email address of the user to be assigned as the new administrator.
    • Ideally, this user should already exist within the workspace. This process is necessary due to data protection regulations. We cannot assign administration rights based on informal requests or without written confirmation from management. The email acts as documentation for compliance purposes.
absentify is ISO 27001 certified, GDPR compliant, and has passed Microsoft 365 app certification. All data is stored in Microsoft Azure’s North Europe region, and only top management has access to the production database.

Yes, absentify supports users across multiple Microsoft tenants. However, admin consent for required permissions must be granted separately for each tenant.
If your organization has migrated to a new Microsoft tenant, please contact us at support@absentify.com. Send us an Excel file listing:
  • Old email addresses and tenant information
  • New email addresses and tenant information
    We’ll update the user data for your organization within 72 hours.
We store profile data such as first name, last name, email address, and profile picture in our database to ensure faster login and user management.
  • Manual synchronization: Profile data is updated during each login or logout.
  • Automated synchronization: If higher permissions are granted, absentify receives real-time updates via Microsoft Webhooks.
  • Frequency: Even with Webhook integration, synchronization occurs at most once per hour to avoid throttling from Microsoft’s Graph API.
absentify provides multiple integration methods to seamlessly connect with third-party tools and systems:
