This feature is available from the Essentials plan and can be used in both Essentials and Plus plans.
Accessing user notifications
- Navigate to Settings > Users.
- Select the desired user from the list and open their profile.
- In the user edit menu, select the Notifications tab from the side menu.
Adding a notification setting
- Select Add notification setting.
- Select one or multiple Leave Types for which notifications should be sent.
- Select one or multiple Notification Stages:
- When request submitted: Sends a notification when a new request is created.
- After request approved: Sends a notification when a request is approved.
- On every change in the approval process: Sends a notification when a request is submitted, approved, or rejected.
- When an absence is cancelled: Sends a notification when an approved absence is cancelled.
- Enter the Receiver Email address.
- Select Save.
Managing notification settings
Once notification settings are created, they appear in the Notifications table. You can:- Edit a notification setting: Select the pencil icon next to the entry to update the leave types, notification stages, or recipient email.
- Delete a notification setting: Select the trash icon to remove the notification rule.
How notifications work
- Any future absence requests matching the configured leave types will trigger notifications based on the selected stages.
- Multiple notification stages can be selected to ensure notifications are sent at all relevant moments.
- Each notification email is sent in the recipient’s personal language and date/time format when the recipient is a workspace member. If the recipient is not a workspace member, the requester’s language is used as a fallback.
- Recipients will receive an email with all details of the request, including:
- Employee name
- Leave type and whether it deducts from allowance
- Who submitted the request
- Duration (per occurrence and series total for recurring requests)
- Remaining allowance for the year
- Approval status with approver names and timestamps
- Recurring-series details when applicable (schedule, occurrence count)
- Reason for the absence (if provided)
- Decline or cancellation reason (if provided)
- Attachment file names (if files are attached)
- “View full request details” button linking to the request in absentify (for submitted and approved requests)
- On the Plus plan, notification emails display your workspace company logo (light and dark variants) and custom primary color as configured under Branding.
Notifications help keep stakeholders informed about leave requests but should be configured with privacy considerations in mind.
